This document sets out procedures used by the choir to comply with the General Data Protection Policy (EU 2016/679). Data held by the choir consists of contact details and some photographs.
Data held by the choir includes name, address, telephone number(s) and email address. This information is given when joining the choir or the mailing list and contact details are held in electronic form by the choir committee and members. The electronic data is only shared between members of the choir or used for mailing event information to those who have signed up to our mailing list. It is not passed on to any third party.
The data are held so the Committee can send news, information and miscellaneous requests for a response to choir members and those on our mailing list. Communication is by email or telephone. Sharing of choir members’ data may be considered necessary in case of any emergency.
Each choir member or anyone signed up to the mailing list is informed what data are held by the choir and by whom. Those who have signed up to the mailing list have the right to know what data are held by the choir and can have their data removed from the records at any time upon request to info@chanticleersingers.org.uk
Photographs (and rarely videos and other media) are used only for the purpose for which they were taken – i.e. to publicise the activities of the choir, including use on the choir website. Any choir member who does not wish to be photographed must make this known to the photographer at the time. Photographs are held by the person responsible for (1) administering the website and (2) dealing with publicity and will not be used for any other purpose without the permission of those involved.
